BBE PTO MEETING AGENDA/MINUTESNOVEMBER 12, 2025 - 9:30 AM

1.  Call to Order 9:35 

Attendance: Elizabeth Miceli, Nicole Polit, Katie Gorman, Tara Phillips, Shawna Zuniga, Brenda Rajwani, Gulsah Gulluce, Letty Gonzales, Felicia Bolden, Sue Ellen Bhayani, Emily Hickman, Erin Grace

2. Review of October Minutes, Treasurer Reports

BBEPTO.org - where you can find the October Minutes and other files/docs for PTO. Reviewed Financial reports: notes accepted. 

3. Upcoming Events:

  1. 11/13: 3rd Grade Field Trip to HMNS
  2. 11/17-11/21: Fall Spirit Week (wear fall colors, Career Dress, Holiday shirts, holiday shirts, school spirit shirts)5th grade field trip week before Thanksgiving break? - 5th grade team lead: Baker, is who we should ask about this. 
  3. 11/18: Career Day - Different format this year. Booths in the cafeteria for 2nd-5th grade. Afternoon session is for PreK-1st: classroom presentations. We’re still lacking in information as volunteers. Fliers and signup genius don’t currently match. 
  4. 11/24-11/28: Thanksgiving Break
  5. 12/3: 6/7 Day - Dress up day. Each grade will each have an activity: math quizzes, writing prompts, etc. 
  6. 12/5: Movie Night 5:30pm
  7. 12/8-12/12: Holiday Shop
  8. 12/9: 3rd grade music performance 5:30pm - This was rescheduled from November. 
  9. 12/10: December PTO Meeting 9:30am
  10. 12/16: 5th grade music performance 5:30pm
  11. 12/19: Winter Party | Early dismissal | Holiday lunch for staff 

4. Committee Reports

  1. VIPS Parties – Plans for upcoming party - We’re currently still brainstorming ideas for winter parties. 
  2. Program Development –upcoming spirit nights and dates, spirit night recap - $313 coming from Canes. Oct was cancelled likely because of timing. Nov spirit night is supposed to be Friday, but Azin is going to try and move it to next week. 
  3. Ways & Means – Fall Festival recap, plan for holiday shop - We’re still working through the numbers to determine total profits; we had a bit of an issue with the inflatables company: dunk tank was late, they didn’t pick up and drop off same day, which we paid  an extra fee for. They also didn’t deliver the proper generator setup. The silent auction did better than we had hoped: only looking for 1 person to finish paying their invoice. As of right now we raised $3,920 (just from the silent auction). Would like to look at whether or not we should be doing Holiday Shop as a fundraiser: This year is already set, but should we plan to do something different next year? Doesn’t currently require much planning, but does need volunteers. We’ve currently looked at it as more of a service than as an actual fundraiser. Is it currently serving our school in the way we want it to? Tara: other PTOs set up the shop themselves instead of using a company. Nicole: We went with a company so that we don’t have to hold onto inventory, and we send back what we don’t sell. The company does send us items based on what was popular at our school in the past. Erin: My kids love doing it every year. The kids will even buy gifts for extended family. There will be cash or e-wallet options for the Tip Top Holiday Shop. Holiday Shop currently falls under ways & means, but should it be someone else’s responsibility if it’s not an actual fundraiser? Nicole suggests we work on these decisions before we sign our contracts for next year. Should we survey the school to see what feedback other parents/teachers have for PTO activities throughout the year? Boosterthon discussion - Dec 12 Preplanning meeting with Dr. Bolden. The contract for Boosterthon is typically signed at the Post-Event meeting. We should discuss this at either the December or January PTO meeting.
  4. Hospitality – plan for upcoming events - Potential turkey hunt for teachers, still brainstorming for December teacher/staff appreciation. 
  5. Yearbook – upcoming help needs - Lots of pictures have been submitted. We had volunteers come in during red ribbon week to take pictures of groups of kids during lunch times. 
  6. Masterpiece Art – any update - All signups are filled except for Mrs. Sowatsky. Facebook posts are helping encourage new people to volunteer in new positions. We should share which classes have completed their courses & what they’ve learned about. Is masterpiece art a national program? Is it time for a refresh of a few? There are a few artists that make a lot of work/cleanup for the volunteers. 
  7. Junior Achievement – any update - We’re still in need of volunteers for 5th grade specifically. Should also do some facebook posts when the classes are completing lessons. 
  8. DADS - any update - The dads have been doing lots of Car Duty. 
  9. Sponsorship - any updates - Last meeting was at 12 sponsors, and now we’re up to 15. 2 new Hopper sponsors. i9 sports wants to be heavily involved. We had 2 tables at Fall Festival and those sponsors were pleased. 
  10. Membership - any updates - 10 new students + 1 staff member have joined since the last meeting. 

5. Principal’s Remarks - had to leave the meeting early. Could we get a recap of the information she was going to speak on sent out to PTO with Dr. Bolden’s permission? 

6. New Business

  1. Mrs Cheng - new office chair - $120 chair to replace her old/torn chair? 
  2. Ms Zamora - funko pop for 5th graders (pending info) - this was something they did last year, they also get to design the box. We still don’t have cost information - this will be a plain white funko body. The total cost was under $150 last year. 
  3. Mr Horton - symphony transportation cost for 5th graders (pending info) - The district would typically pay for this, but the budgets have been cut. We think this will be in January?
